Title: Environmental Coordinator (Inspection Services)

Context:
This role will provide support to the Director of Inspection Services and Managers in Inspections Services who are currently responsible for the following teams:
– Environmental Projects
– Trade Effluent Licensing Inspection Services (TELIS)
– Waste Enforcement Services (WES)
– Regional Waste Management Planning Office (RWMPO)
The Inspection Services Coordinator plays a pivotal role in ensuring the seamless execution of day–to-day activities within the Inspection Services division. This role is instrumental in the delivery of internal projects and operational tasks, facilitating communication and collaboration between various teams, and overseeing processes critical to the smooth running of business operations. Ultimately, the Environmental Coordinator ensures all areas function cohesively, leading to increased productivity and operational success. This role demands a proactive approach to problem-solving, strong organisational skills, excellent Microsoft Office skills and the ability to navigate and streamline complex workflows across the IS division.
Job Purpose:
General administration – Support Inspection Service Programme Managers in administration; Assisting teams with tender and proposal preparation.
Project Coordination – Support the Environmental Projects Team from the ‘drawing board to the finish line’, drafting plans, setting deadlines, tracking progress, communicating with different teams, and following up on project statuses to ensure timely delivery.
Environmental Projects – Assist the Principal Environmental Consultant in ad hoc environmental projects.
Operations Support
I. Assist in operational tasks under the direction of Programme managers. Help teams in Inspection Services exceed their goals and objectives and assist in identifying ways to improve efficiency.
II. Onboarding Assistance – Assist Programme Managers in the onboarding process for new starters to meet and greet, and provide IT equipment, PPE and onboarding plan for the relevant team if required.
Reporting & Data Management
I. Contribute to reports for internal and external stakeholders.
II. Collect data, analyse figures, and create reports for management and other stakeholders including assisting in end-of-month and weekly reports, and HR administration.
Quality and Compliance
I. ISO – Assist in the continuous improvement plan and design and development of the extension of the scope of the quality and health and safety management system to all of Inspection Services. Collaborates with Programme managers to agree on procedures, policies, and processes.
II. Health and Safety – Assist in accident and incident investigations, identifying and assisting in closing any outstanding actions. Assist in the maintenance of records including vaccinations programme, health and safety training, equipment and vehicle checks for all IS.
Financial and Logistical Support
I. Finance/ Office Admin/Receptionist – Collaboration with reception and Finance in Ireland to feed queries/complaints/ invoices etc to ensure an effective and efficient process for all responses to queries relating to IS.
II. Assists in handling logistical responsibilities, including [supply chain management, customer service, client services, quality management, etc.].
III. Finance – Assist Direction of Inspection Services with financial tasks, including [forecasting, expense reports, budgeting, etc.].
IV. Fleet Management – assist in fleet management including insurance queries, updating driver declarations, and spot checks on staff documentation e.g. driver licences are in date.
V. Training and Development – Assist in identifying any training gaps, booking training, and updating matrices in conjunction with Programme Managers. Manage distribution of training certificates and update the IS repository. Assist in the delivery of internal training.
Required Skills & Experience:
– A minimum of 2+ years’ experience within the environmental sector.
– A degree in an environmental-related discipline or equivalent is required.
– Intermediate to Advanced – Microsoft Word, Excel and PowerPoint.
