Gaia Talent is seeking to recruit an Office Manager. The successful candidate will head the office administration.

Duties include but not limited to:

Administration Management

  • Develop intra-office communication protocols;
  • Streamline administrative procedures;
  • Office staff supervision;
  • Partner with HR for the recruitment of new personnel;
  • Organize orientation and training of new staff members.

Business Development

  • Maintain and develop relationships with current clients;
  • Identify and create strategies to reach new business opportunities;
  • Build relationships with new clients, identify their needs and create proposals to successfully address them.

Bid Management

  • Liaise with Managers to agree bid details;
  • Preparing documents, essays CV’s, photos and any other required materials;
  • Editing or rewriting previous tender documents to reuse relevant materials;
  • Collating details provided, ensuring a uniform tone to the overall document;
  • Editing, publishing and printing of final documents;
  • Ensuring the bid is accurate and delivered on time.

Management systems

  • Conduct internal audits to ensure policies and procedures are being followed;
  • Prepare documentation for QMS, Health & Safety and Environmental Audits;
  • Attend monthly meetings with the wider team;
  • Liaise with colleagues within the wider team in relation to CPD, Health & Safety and HR issues.

Marketing

  • Ensure the company website is kept up to date and accurate;
  • Create content for the company LinkedIn and Twitter accounts;
  • Liaise with wider team in relation to content and advertising.
